Glossary
Addendum. A published change to an RFP after posting. Part of the permanent record and visible to every bidder.
Admin view / resident view. The navigation toggle for admins who are also residents. See roles.
ARC. Architectural review. Approval before changing the outside of a home. See ARC requests.
Assigned fee. A fee that applies only to named members, optionally at a custom amount each. As opposed to an everyone fee.
Assignment. An issue given to a work group, and optionally to a specific member of it.
Blackout. A period an admin has closed a space for maintenance or a private function. Occupies the calendar like a booking.
Bookable. Whether residents may reserve a space themselves. Separate from active, which is the archive. Active but not bookable is an events-only space.
Broadcast. One message to a whole group, delivered to a read-only feed rather than into a conversation.
Community admin. An admin of one or more specific communities. Not a platform admin.
Community code / join code. A short string identifying a community, letting anyone holding it register into it.
Contact role. A topic residents can message: Maintenance, Billing. Each has assigned admins. General always exists.
Credits. The community wallet that pays for signatures, custom domains and Forms. See credits.
Cure by date. The deadline on a violation.
Derived item. A checklist item that completes itself from real records and cannot be ticked by hand.
Entity type. HOA, apartment complex, country club or municipality. See entity types.
Estoppel. The statement of what an owner owes at closing. Sold as a resale certificate.
Family. Several verified member accounts grouped so their records read together. See families.
Floor plan. A layout rented more than once, described once and inherited by every home built to it. See floor plans.
Group. Two different things. In Community Settings, a work group that issues are assigned to. In Manage Messaging, a set of members you broadcast to.
Household entry. A declared vehicle, pet or tenant. Includes an explicit "none" declaration. See My Household.
Listing. A home advertised for rent on the public site. Board-entered, not resident-submitted. See homes for rent.
Offline payment. Money that arrived outside Stripe, recorded by an admin. See offline payments.
Per household / per member. The scope of a vote. Per household is one ballot per address.
Platform fee. CivicPort's percentage of resident payments and resale orders. Often zero. Deducted from the community's charge, not added to the payer's.
Priority announcement. An announcement that holds the lobby screen until it expires.
Program. One cycle of a checklist: getting settled, this year's list, or a community's own setup list.
Publicly visible. The per-item flag that publishes one announcement, event, document, FAQ, listing or plan to the public website. Separate from publishing the site itself.
Rentals. Amenity bookings. Homes offered for rent are listings.
Resale packet. The documents a title company buys when a home sells. See resale documents.
Screening. A background check on a tenant, run by your vendor, never by CivicPort. See household registry.
Signage. The full-screen lobby TV display. See digital signage.
Signature. One e-signature send. One send costs one signature however many people sign it.
Site mode. Full, or listings-only. See the public website.
Slug. The DNS label a community answers on, so demohoa serves
demohoa.civicport.io.
Space. A rentable or schedulable place: clubhouse, court, pavilion, lawn.
Super admin. A platform administrator. See roles.
Ticket number. The human-readable number on an issue.
Town. The internal name for a community. It predates the product serving HOAs, and survives in some URLs and labels.
