For applicants and residents

The applicant app at apply.civicport.io is where you apply for housing, keep your application up to date, and complete your recertification once you live in a unit.

Your account​

Sign up on the applicant app with your email. This is a Housing account, not a CivicPort account, and it never turns into one. If you are admitted, the community sends you a separate invitation to create a CivicPort account for things like maintenance requests and your move-in checklist.

Applying​

Pick a program and answer its questions. Some answers bring up follow-up questions or ask for a document, such as recent pay stubs for wages or a benefit letter for Social Security. You can save a draft and come back.

Once you submit, you have a position on the waitlist for that program and bedroom size. Position is by submission time, with verified preferences ahead, so submit when you are ready rather than waiting for every document.

If you are denied, the identity details you gave (legal name, date of birth, SSN) are deleted from the office's records, and the record shows they were held and released.

Documents​

Uploads go through short-lived links, so a document link you were given yesterday will not work today. Upload from the request itself.

A document has a freshness window. A pay stub older than the window has to be replaced with a newer one.

Being admitted​

When you are admitted, the office picks your unit, move-in date and rent, and your new community sends a CivicPort invitation to your email. Accepting it creates your CivicPort account and opens your move-in checklist. See Joining a community.

Your income, SSN, date of birth and documents stay in Housing. CivicPort gets your email, your unit, your move-in date and the names of the people in your household.

Recertification​

Once a year the office opens your recertification. You get a first notice 120 days before it takes effect, reminders at 60, 30 and 14 days, and a deadline 30 days before.

On the applicant app you confirm who lives with you, answer the questions, upload the documents each income row asks for, and, if you are the head of household, complete the certification. If the office finds a difference between what you declared and what they can see elsewhere, they will ask you to resolve it.

When the office approves, you get a rent notice by email showing your current rent and the new one, at least 30 days before it changes.

If your income changes by 10% or more between recertifications, tell the office. That opens an interim recertification.

Getting help​

If you cannot complete a recertification or application yourself, you can invite someone by email to do it for you. They get their own login, can answer and upload, and, if the office allows it and you have an authorization of representative on file, can complete the certification too.
