Household Registry

What every household in your community has declared, organised by household.

What is in it​

Expand a household to see its vehicles, pets and tenants. A household that declared "no pets" shows that explicitly, which is what makes the registry usable as a compliance record rather than a pile of partial answers.

Use it for parking enforcement, pet limits, occupancy, and answering "who actually lives at 14 Elm".

Exports​

You can export the registry as CSV. An export that includes identity fields is an audited event, recorded with how many rows were revealed, exactly like revealing one on screen. Export the masked version unless you specifically need the identity fields.

Screening settings​

Where your community requires background checks, configure:

  • Background checks required: the master switch.
  • Instructions: what you tell residents about your check.
  • Vendor name: the service running it, named in the applicant's email.
  • Applicant link: the vendor's own form. HTTPS only, because the applicant is about to type identity data into whatever it resolves to and the link goes out in CivicPort-branded mail.
  • Auto-invite: mail the link automatically when a tenant is registered. Apartment communities default to on; everyone else defaults to off. Always off with no applicant link configured.
  • Application questions: your own questions, in the order they are asked.

What CivicPort deliberately does not do​

  • It never asks for a Social Security number.
  • It never runs the check or stores its result beyond your recorded decision.
  • It never shows an identity field without logging that it was shown.

A former address identifies a person well enough to deserve the same care as a date of birth, so it is masked, revealed and purged on the same terms.

The audit trail​

Append-only, covering reveals, purges and invitations. Each entry records the action, the scope (a single tenant, an export, or an automatic invitation), the admin responsible, and the count of rows revealed.

This is the record that matters if your handling of applicant data is ever questioned. It cannot be edited or deleted from the console, by design.
