Financial Reports

A light general ledger: what came in, what went out, and the net, over any date range.

Available to every non-municipality community regardless of whether payments or violations are switched on, because a board still has books.

Income

Comes from real payments, categorised by the fee's category:

  • Dues
  • Fines
  • Special assessments
  • Other
  • Space rentals, written by the booking payment flow rather than selectable on a fee
  • Late fees

Space rental income is also broken out by space, so you can see whether the clubhouse or the courts is actually earning.

Expenses

Entered by you: a category, a description, an amount, the date it was incurred, and the vendor.

An expense can be linked to an awarded RFP proposal, which is how the bid you accepted and the money you paid end up connected rather than living in two systems.

Receipts

Attach a receipt image or PDF to any expense. You can also scan one: the extracted vendor, amount and date are prefilled for you to check before saving. Check them. Extraction is a starting point, not a source of truth, and the page warns when it is unsure.

The report

Income and expenses each with a total, a count and a per-category breakdown, plus the net. Pick any date range: a month for a board meeting, a year for an audit.

Delinquency aging

The report also buckets unpaid balances by how overdue they are: current, 1 to 30 days, 31 to 60, 61 to 90, and 90 plus, each with a total and a count.

That is the view a board wants before it votes on a collections policy, because it separates "a few people are late" from "a few people are very late", which call for different answers.

Export transactions as CSV in three shapes:

The export covers the same date range as the report on screen, and reports how many transactions it contains, so you can reconcile the file against the page before you hand it over.
